Hand over to a new Secretary

Transfer admin access, update the strata roll, and complete the statutory notice obligations.

Before you start

    At least one other person already holds the Admin role in the building (StrataOwn will block the handover otherwise).

    The incoming Secretary has been elected at a meeting and has a StrataOwn account.

    The committee has resolved the office bearer change and you have the resolution reference.

Open Settings → Handover

The eight-item checklist appears: roll updates, document access, notification preferences, audit-log export, in-flight items, key contacts, banking access, and final farewell email.

Promote the new Secretary

Assign them the Admin role and the Secretary office bearer role with the AGM date as the effective date.

Update the strata roll

Record the change of office bearers; this is the version that goes to the regulator.

Transfer notification preferences

Move per-event notifications from your account to the new Secretary's so emails don't keep coming to you.

Export the audit log

Take a CSV snapshot for your records before stepping down.

Hand over in-flight items

Reassign open work orders, insurance claims and committee tasks to the new Secretary.

Confirm banking access

Arrange this with your strata bank account provider directly — StrataOwn doesn't control bank signatories.

Complete the handover

Click Complete handover. Your Admin role is removed and the audit log records the transition.

Frequently Asked Questions

What if no one else is an Admin?expand_more

StrataOwn will not let you complete the handover. Promote at least one other committee member to Admin first, even temporarily, so the building cannot be locked out.

Do I lose access to old documents?expand_more

As an outgoing committee member you retain read access for the period required by your state's Act, then access lapses. Take an export of anything you specifically need beforehand.
